Information for students
Enrolment
Will this be your first time working as a student teaching assistant? If so, stop by our office to enrol. This is a one-time registration. You can enrol on working days between 1.00 pm and 5.00 pm. There is no need to schedule an appointment but be sure to bring a valid passport or ID card (not a driving licence). We cannot enrol students who do not yet have a student teaching assistant job.
Our office is located in the Faculty of Industrial Design (Landbergstraat 15, building 32).
During registration, we request information required to pay you, including your BSN number and Dutch IBAN bank account number.
Students with non-EU nationality
If you have a non-European nationality, we will probably need to apply for a work permit first. We will arrange this for you.
How does that work?
During registration, we will ask for your residence permit and BSN number.
We use this information to apply for the work permit with the Employee Insurance Agency (UWV). We will send you an email when the work permit arrives. The work permit will show the commencement date, and you can work a maximum of 16 hours per week starting from this date. Please note that working outside the validity of the work permit and more than 16 hours per week is not permitted.
Practical matters
Reporting your hours and payment
If you are registered with FlexDelft, you will be sent confirmation as soon as possible after enrolment. Please check this for inaccuracies. You will also receive your login details, with which you can declare your hours worked. After submission, your manager will receive an email to approve the hours (if approved, of course). Your pay will be transferred to your bank account on the Tuesday following approval.
Job classification
We base the amount of your salary on the salary scales found in the Collective Labour Agreement for Universities. The salary scales for student teaching assistants are based on the ECTS you have earned.
SA2 = 60 to 120 ECTS
SA3 = 120 to 180 ECTS
SA4 = 180 ECTS and above or Master’s student
The job classification is not automatically transmitted to FlexDelft. So if you should get an increase in scale during your assignment, you need to inform FlexDelft of this yourself. You can do so by sending an email to FlexDelft@tudelft.nl.
Holiday pay and year-end bonus
You will accrue 8% holiday pay on your salary. This will be paid in May. In November, you will receive your accrued year-end bonus of 8.3% of your gross annual salary. In both cases, these reserved amounts will be paid automatically after a 6 week period during which you have not submitted any declarations.
Leave hours
You accrue statutory holiday hours for every hour worked. Based on full-time employment, you would be entitled to 232 hours per year. Since you will be working flexible hours, the holiday hours will be accrued pro rata. This reserve amount can be paid out at your request. After a six week period during which you have not submitted any declarations, this reserve will be paid to you automatically.
Payslips & Annual Statement
The payslips per payment are located in the timesheet portal. On it, you will see information such as the breakdown of paid wages, accrued holiday pay, year-end bonus and leave hours. You can download the annual statement once a year in January.
Illness
Are you ill? You should first consult with your manager to determine whether you can carry out your work at another time because flexible working is often possible. If this is not possible, please report your illness to your manager and to us as soon as possible. During the remaining period in which the work has been confirmed, you will be entitled to continued payment of wages in accordance with the legal rules. However, you will be obliged to cooperate with reintegration measures.
Insurance
Anyone who works in the Netherlands needs Dutch health insurance. You must have taken out basic health insurance within 4 months of starting your assignment.

How does the job classification work for student teaching assistants?
As a student teaching assistant, you provide support for a subject/research and use knowledge specifically from your study to do so. In accordance with the Collective Labour Agreement for Universities, the job classification is based on your academic progress.
The division in pay scales is as follows:
60-120 ECTS = SA2
121-180 ECTS = SA3
>180 ECTS/Master’s student = SA4
You can request the gross hourly wage amounts associated with this from FlexDelft.
When registering for your assignment, the supervisor will indicate the pay scale based on the current number of ECTS. When you receive confirmation of your assignment from us, always immediately check that the job classification is correct.
How can I add vacation hour to my declaration?
When you log in, you can go to your timehseets. You will see a small black plus sign (+). When you click on it, a second line will appear with "vacation hours." Here you can submit your vacation hours.
Where can I find my current balance vacation hours?
When you log in, you can see how many vacation days you have accrued under "my details.".
What should I do if I have earned enough credits to be classified in a higher pay scale?
If you have earned enough ECTS to move to the next pay scale, you must communicate this to FlexDelft yourself. We can adjust the pay scale based on an ECTS statement, which you can submit to us by email or by dropping it off during opening hours. The new job classification will take effect on the first Monday after receipt of the new ECTS statement.
What do I do if I’ve forgotten my password?

What are the username and password requirements?
The username must have a minimum of 6 characters.
The password must consist of at least 12 and a maximum of 32 characters, with one symbol, one number and one upper-case letter. You cannot use spaces.
I cannot log in. What do I do?
You can click the ‘forgot password’ button to request a new account. Make sure the password and username meet all the criteria. Try accessing it via a different browser. If this does not work, send an email to flexdelft@tudelft.nl.
What is payroll tax credit?
Anyone employed in the Netherlands is required to pay tax on their salary. This is called payroll tax. Whether and how much payroll tax is withheld depends on a number of factors, including whether or not the payroll tax credit is applied and your gross weekly income.
If you work, you are entitled to a tax credit.
When you apply the payroll tax credit, less tax is withheld from your salary than when you do not apply the credit. You can only apply the payroll tax credit with one employer. You should choose the employer where you earn the most. When you enrol with FlexDelft, you fill in a form indicating whether or not you want to apply the payroll tax credit. You can always change this at a later date by sending us an email or stopping by in person.

How can I change my payroll tax credit?
Stop by our office or send us an email to change your payroll tax credit. We will then send you a form to complete and return to us by email.
You can only apply a payroll tax credit with one employer.
What is shown on my payslip?
You will receive a payslip when you have been paid for hours worked or when we have paid out holidays, holiday pay or year-end bonus.
Under the ‘Declaration' heading on your payslip, you will find the total hours worked, your gross hourly wage and the total gross wage to be paid (hours worked x gross hourly wage).
An explanation of the calculation from gross wage to net wage can be found under the ‘Description’ heading on your payslip.
For payroll tax, the more you work per week, the more payroll tax you pay. If the payroll tax credit is applied (you can find this at the top right of your payslip), payroll tax is withheld starting from about eight hours a week. You can file a tax return every year in March to get a refund of any overpaid tax.
Your accrued holidays and holiday pay are shown at the bottom of the payslip. Holiday pay and holidays are separate pots that accrue with a percentage of the gross salary paid by us. Finally, the same table shows the change in the balance (holidays in hours, holiday pay in euros) as a result of us paying your wages and/or you having holidays paid out.
When will my holiday pay and holiday hours be paid?
If you do not declare any hours for six weeks, all your accrued reserves (holiday pay, holiday hours and end-of-year bonus) will be automatically paid out.
Your accrued holiday pay balance is automatically paid out in May.
Your accrued year-end bonus balance will be paid automatically in November.
You can also include holiday hours in your declaration of hours worked, provided you declare hours in the same week.

When should I submit my declaration?
We advise you to submit your hours worked at the end of each week. Once you have submitted your declaration, it is final and you cannot amend it. The person approving your submission can change the number of hours.
Can I still change my submitted declaration?
Once you have submitted your declaration, it cannot be reversed. If possible, try to offset the incorrectly submitted hours with a declaration for another week.
The person approving your submission can change the number of hours or set it to 0 hours.
I moved to a new address, do I need to change it?
Yes, you can change your address in your account or send an email.
Note: To work through FlexDelft, you must be registered at a Dutch address.
Why can I no longer submit a declaration?
You can no longer submit declarations once the end date of your assignment has passed. Visit your supervisor and have them notify FlexDelft of an extension of your assignment.
Once the maximum number of submitted hours has been reached, you can no longer submit hours. Visit your supervisor and have them notify FlexDelft of an increase in your hours.
Can I submit declarations from previous weeks?
You can submit declarations from up to four weeks prior. Everything before that will automatically lapse. Should you wish to submit hours from more than 4 weeks ago, please send us an email.
Why have I not been paid yet?
Your supervisor may not have approved your submitted declaration yet. Check in the timesheet portal whether your declaration has been approved. All declarations approved by 9.00 am on Tuesday morning will be paid on Tuesday.
